It is a part of the project manager role which can be reasonably enjoyable if you do it right. Seeing your to-do list get shorter is also a great incentive for doing this the right way.

Clear Your Head

In order to plan effectively it is necessary to clear your head of some of the problems and issues which are swirling around in it. This might mean going to a quiet part of the office or waiting until everyone else has gone home.

Prioritize

It is easy to look at the list of things to do and cherry pick the easy ones first. This isn’t a great long term approach. You need to be honest and choose the ones which are most urgent regardless of whether you want to do them or not.

Know Your Limits

There is no point in planning to do 20 hours of work in a single day. You need to know your limit and not try to take on more than you can do. If you load your day with too much work the only thing that will happen is that you perform to a poor standard on all of the tasks.

Memos

 

A memo is: a hard-copy (sent on paper) document used for communicating inside an organization. It is usually short and contains To, From, Date, Subject Headings and Message sections. It does not need to be signed, but sometimes has the sender’s name at the bottom to be more friendly, or the sender’s full name to be more formal.

Example Memos:

    To: Health & Safety Committee From: Joe Chairperson, H&S Date: 12 April, 2011 Subject: Room change for next meeting The meeting on Saturday, 24 April has been changed to Room 101.  

 

To: Katherine Lang, Regional Manager From: Stephen Frederichson, Sales Date: 12 May 2011 Subject: Notification of My Resignation   I am writing to inform you of my intention to resign from G & S Holdings. I have appreciated very much my four years working for the company. The training has been excellent and I have gained valuable experience working within an efficient and professional team environment. In particular, I have appreciated your personal guidance during these first years of my career. I feel now that it is time to further develop my knowledge and skills base in a different environment. Once again, thank you for your support.

In this memo all the parts are mixed up. Organize the memo so that everything is in the right place (put the correct number in the first column). The first position is placed already. Continue, please:
